Who we are
Dynamic Build Systems ("we", "us") is the responsible party for personal information processed through this website. What we collect and why
Contact form. When you send us a message we receive your name, email address, message and, if you choose to provide them, your company and phone number. We use them for one purpose: to reply to your enquiry and, if you ask us to, to prepare a proposal. The lawful basis is that you have asked us to.
Web-server logs. Our host, Microsoft Azure, records the IP address, browser type, requested page and time of every visit in standard web-server logs, which we use to keep the site secure and working. Logs are kept for a short, fixed period and then deleted automatically.
Nothing else. This site sets no cookies and uses no analytics, advertising or tracking scripts. The Google map on the contact page is loaded only if you press "Show map"; until then nothing is requested from Google.
Who processes it
- Microsoft Azure hosts this website. Server logs are stored in the Azure region shown in our hosting configuration.
- Web3Forms (Web3Forms, operating from outside South Africa) delivers contact-form messages to our mailbox. Your message passes through their service and is not stored by us anywhere other than our email.
- Microsoft 365 hosts our mailbox, where your enquiry is stored while we deal with it.
- Google processes your IP address and any interaction with the map only after you choose to load it, under Google's own privacy policy.
Where a processor is outside South Africa, the transfer is made in terms of section 72 of POPIA to a party subject to binding rules that provide adequate protection, or with your consent implied by your use of the form.
How long we keep it
Enquiries are kept in our mailbox for up to 24 months after our last correspondence, unless they lead to a contract, in which case they form part of the client record. Server logs are deleted automatically after a short retention period.
Your rights
Under the Protection of Personal Information Act 4 of 2013 you may ask us what personal information we hold about you, ask us to correct or delete it, object to our processing of it, and withdraw consent where processing is based on consent. Write to the Information Officer above; we respond within a reasonable time and never charge for a first request. You may also complain to the Information Regulator (South Africa) at inforegulator.org.za, 33 Hoofd Street, Forum III, 3rd Floor, Braampark, Johannesburg, or by email to complaints.IR@inforegulator.org.za.
Requests for access to records under the Promotion of Access to Information Act are handled according to our PAIA manual, which is available on the legal page.
Security
We take reasonable steps to protect personal information from loss, misuse and unauthorised access, including transport encryption on this website, restricted access to our mailbox and a hosting configuration that sets no tracking cookies. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security.
